WAITING LIST POLICY

By placing their name on the Waiting List, an Approved Applicant is assured of being offered an available apartment at the earliest opportunity. Only Approved Applicants who pay a security deposit (one month rent) are allowed to be placed on the Waiting List. Names on the Waiting List are maintained in order by date of placement on the list. Actions by an Approved Applicant on the Waiting List can impact their position on the Waiting List (see below).

Note: An Approved Applicant is not required to place their name on the Waiting List. An Approved Applicant may choose to stay on the Approved List without submitting a security deposit. However, all names on the Approved List must satisfactorily update their Application every three years

When an apartment is available, it is offered to names on the Waiting List in order of position. The apartment is always offered first to the first name and then to others in order of position.

When an apartment is offered, the Approved Applicant has three choices:

  1. Accept and claim the available apartment and take occupancy within 30 days
  2. Reject the available apartment
  3. Claim the apartment and request to hold it for up to 90 days

When an existing apartment becomes available, the first name on the Waiting List will be emailed a dated Notification Letter inquiring about their interest in accepting the apartment.

To claim and accept (or to reject) the apartment, the Approved Applicant on the Waiting List must reply within 10 days of the date of the Notification Letter.

If the Approved Applicant on the Waiting List notifies Alder Springs during the 10 day period of their desire to reject the apartment, the Approved Applicant will hold their place on the Waiting List without penalty. Failure to respond within 10 days will constitute a rejection of the apartment and the Approved Applicant name will be moved to the bottom of the Waiting List.

An Approved Applicant on the Waiting List who claims the apartment and declares their intention to take occupancy must do the following within 30 days of the date of the Notification Letter:

  1. Complete the Residential Rental Agreement
  2. Pay the first month rent within the stated 30 day period

Note: in this case the security deposit is already in hand.

An Approved Applicant on the Waiting List who claims the apartment and desires or needs to defer occupancy for up to 90 days of the Notification Letter must:

  1. Declare a hold of up to 90 days on the apartment
  2. Complete the Residential Rental Agreement
  3. Begin paying rent within the 90 day hold period

Note: in this case the security deposit is already in hand.

When a hold has been established, failure to begin paying rent during the 90 day period will constitute:

  1. Nullification of the Approved Applicant’s claim on the apartment
  2. Nullification of the Residential Rental Agreement
  3. Forfeiture of ½ of the security deposit
  4. Removal from the Waiting List

Holds will not be extended beyond 90 days.

In all cases addressed in this Policy, physical occupancy must begin within a reasonable time after rent payments have begun.
